How to send finished files to your client
When a job is finished and paid, you publish its drawings to the client in one go. They get one email with a link, and download each file from a page in their browser. Working files stay in your office.
Who can do this: a Director, a Supreme Technician or an Ops Admin.
Steps
- Open the project and go to the Work & files tab.
- Under Files & deliverables, set Upload as to For the client (handover), then press Add photos or files. You can choose several files at once, up to 50 MB each. (Uploads are working documents unless you choose otherwise, so nothing internal goes to the client by accident.)
- Check the lists. Files your client will get are under For the client; everything else is under Working files. To fix a file's place, use Mark for the client or Move to working files. To delete one, use Remove: it's deleted for good.
- When the job is Completed and fully paid, press Publish & email files.
- A box lists every file that will go, and who gets the link ("The download link will be emailed to … and copied to …"). Check it, then confirm.

What your client gets
- An email headed Project Files, with the property address and your reference: "The files for project … are ready to download." It has a Download your project files button, no attachments, and ends with the date and time it was sent.
- The button opens a page that lists each file with Download →. The link works for 12 months, and it's renewed whenever you publish again.

Good to know
- "Not ready to publish"? The message says what's missing: the job isn't Completed yet, it isn't fully paid, or there's no file for the client yet.
- Once a file is published, it can't be moved or removed. Check the list in step 5 before you confirm.
- After publishing: Copy link gives you the link to send another way, Resend… sends the email again, and Email files to client sends it if it didn't go the first time. Publishing the same set again doesn't send a second email.
- Only the office publishes. Other roles see "The office publishes the client handover."
Next: "Record a payment and send the receipt", if the balance isn't marked as paid yet.
